1- Be sure to accept the co-host request for the FB event when we send it to you.

2 – Please share about the event at least three times on FB between mid-October and Dec 13th.
We spend a lot of time gathering info about your business, creating graphics, and sharing
about the makers on FB, Instagram, on our website, and in several newsletters leading up to
the event. Please share as often as you are able!

3 – We ask that you specifically invite five guests who are dedicated to coming out to the
Christmas Market to support you, local businesses, and McKelvey Vineyards! We would love
the emails of your five guests to send a special newsletter blast with all the details a week or
so before the market.

4 – We will either mail or find a time to pass some flyers along and we ask that you share them
amongst your community.

BOOTH INFORMATION

Vendors may arrive at 9am to begin booth set up. Set up must be completed by 11:30am.
Standard Booth is a 7×7 space under the pavilion so no tent is necessary.

Basic electric hookup is available upon request. You MUST note your electrical needs on the
registration form. If you need more than one plug in that is important for us to know. There is
a $20 non-refundable fee to reserve an electric spot.

Vendors requesting/requiring electric need to bring at least 100 ft of electrical extension cord,
power strips, and tape to secure the cord. No cords will be provided by MV.
If you choose to set up your booth and then leave, you are still responsible for your booth and
items. McKelvey Vineyards (MV) is not responsible for lost or stolen items.

Booth deposit and electrical fees must be paid in full with the registration submission.

Vendor is responsible for all set up items needed. Tables, chairs, and displays.

Wi-Fi will be provided and you will be given the password upon check in.

DISPLAYS

This is a rain or shine event. MV is not responsible for items/displays that are damaged by the
elements during load in and load out.

Vendors must supply their own displays. This includes coverings, tables, chairs, table
drapings, etc.

Packing materials should be kept out of sight and out of walkways. Your display may not
exceed the space allotted unless prior arrangements have been made.

The items displayed must coincide with the business that you registered with. We reserve the
right to remove any items found not to be in good taste.

Booth space is limited to one vendor; exhibitors may not share booth space with another
exhibitor.

All spaces are organized based on size, electrical requirements, booth needs, and flow. You
will be provided your booth location upon arrival. You may not change your space location.
Vendors are responsible for the breakdown and cleanup of their space once the event has
ended. You must take all trash off the premises when you leave the event. Please have your
booth space cleared by 7pm at the latest.

1x 10×7.5 commons booth and 2x tables

Date: Saturday & Sunday, March 7th & 8th 2026

Place: Oakville Senior High School, 5557 Milburn Road, St. Louis, MO 63129

Time: Shopping 9:00 am – 4:00 pm Saturday and 10:00 am – 3:00 pm Sunday

Setup hours: Saturday, March 7: 6:15 AM – 8:30 AM & Sunday, March 8: 9:00 AM – 10:00 AM

This agreement shall be for a period of two days: Saturday, March 7, 2026 9 AM to 4 PM to Sunday, March 8, 2026 10 AM to 3 PM

*student helpers available to help transport booth materials and wares to/from your vehicle

Rental per space for two days shall be $125.00 for a single space in the Commons.

No deposits will be accepted, payment must be made in full to receive rental space. Tables are available at an additional $10.00 per table and electricity will be included in the price of the rental.

All merchandise may be hand-crafted by the seller. Vendors must attest to making all or a major part (over 50%) of each item presented at our fair and selling only their crafts. Select direct sales vendors will be allowed entry to our March event only. Only one vendor per direct sales company will be allowed. No “garage sale” or “flea market” items are allowed. Vendors may not offer food or drinks for sale that compete with our cafeteria items. The Craft Fair committee reserves the right to remove any item deemed objectionable, unacceptable or undesirable for any reason. All proceeds from craft sales go to the individual vendor.

The Craft Fair Committee reserves the right to assign your booth space. In the event a vendor can’t occupy their spaces on the days of the craft fair, the Committee reserves the right to have those spaces occupied by other vendors for that year. The Committee reserves the right to remove and/or deny future application to any vendor who exhibits improper behavior toward craft fair staff, students, patrons, and/or other crafters. We reserve the right to return your fee, pictures and application if your craft has been deemed unacceptable. All returned checks will be assessed a $25.00 NSF fee.

Neither Oakville Senior High School nor the OBPA will be liable for any damages or injury to persons or property, sustained by conditions or activities on the school premises.

Vendors are responsible for protecting their property and merchandise from damage or loss. Someone must be present at your display during published craft fair hours. Our volunteers will be happy to “sit” in your booth if you need a quick break.

Neither Oakville Senior High School nor the OBPA accept any responsibility regarding changes to the school facility that could affect the fair, such as physical damage, construction change, or administrative decisions.

Smoking, weapons, alcoholic beverages or pets are strictly prohibited on school grounds at any time. This includes parking lots. Only certified service animals are allowed on campus.

You must bring your own booth equipment, including tables (unless you ordered tables from us). No nails, screws, or staples may be put in the walls or floor. All booths must be safely constructed and not constitute a hazard. You may not demonstrate products in any aisle, corridor, or walkway. All tables must be covered with floor length cloth with no boxes or supplies showing. Candle burning is not allowed. 40 watt light bulbs only.

Tear down begins at 3:00 PM on Sunday – no early tear down is allowed. Crafters may not move their vehicles into position until after this time. Crafters must be out of the school by 5:00 PM. The crafter shall be responsible for removing all merchandise and/or goods, leaving leased space in a neat and clean condition. Student helpers will be available to help transport your booth materials and wares back to your vehicle.

Collection, reporting, and payment of Missouri State Sales Tax is solely the responsibility of the vendor. The school administration and the Craft Fair Committee accept no responsibility for sales tax collection.

Communication with our volunteers must be done in a professional manner. Please remember our volunteers donate their time to the band to make this a successful event. They will respond to you when it is convenient for them. Communication that is threatening, bullying, or otherwise deemed inappropriate by the Craft Fair Chair and Board President could lead to a forfeiture of your spot. Refunds will be issued at the discretion of the Craft Fair Chair and Board President.

REFUND POLICY

If you must cancel from our show, notify us in writing prior to February 1, and we will refund all your fees.

No refunds will be made after February 1. There are no exceptions to this rule.

You cannot transfer your space to another.

If you have not arrived by 8:30 AM on Saturday morning and have not contacted us, you will forfeit your booth and all fees you have paid. You may also be eliminated from future participation in our show.
